This Privacy Policy explains how Eyeprentice collects, uses, and protects information in connection with the Eyeprentice website, the Cataract, Refractive & Anterior Segment Fellowship Showcase, and the Learning Series. By using our website, you agree to the practices described below.
Information We Collect
We collect information you choose to provide directly to us, such as when you email us, apply to participate, or register for an event. This may include your name, email address, phone number, professional affiliation, training level, and any details you include in your message or application.
We also collect limited, aggregate information automatically as you use the website, such as pages visited and content viewed, described further in the Analytics & Cookies section below.
Event Companion App
If you use the Eyeprentice event companion app, you sign in using a private access code provided by the event organizer and verify your email address with a one-time code. We use your name and email address solely to confirm your registration and to display your personalized event experience, including your schedule, wet lab rotation, and attendee networking directory. The app does not track you across other apps or websites, and we do not use your information for advertising.
How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and provide the information or support you request.
- Process and manage event registrations and fellowship applications.
- Share updates about the Fellowship Showcase, the Learning Series, and related educational programming.
- Operate, maintain, and improve our website and programs.
Analytics & Cookies
We use Vercel Web Analytics to understand how visitors use our website — for example, which pages are viewed and how often videos in the Learning Series are played. This helps us improve our content and programming. This analytics data is aggregated and privacy-focused: it does not use tracking cookies to follow you across other websites, and we do not use it to identify you personally. We do not sell this information or use it for advertising.
When you first visit our website, we ask for your consent before enabling analytics. Analytics are only loaded if you choose "Accept." You can change your choice at any time by selecting "Cookie Preferences" in the footer of any page.
We also use a small number of strictly necessary cookies that are required for core functionality — for example, to remember that you have registered to view a webinar, or to keep an administrator signed in. Because these cookies are essential to providing a service you have requested, they do not require consent and cannot be switched off through our website.
Third-Party Services
Eyeprentice relies on trusted third-party providers to deliver certain features. Event registration and applications are processed through RegFox, video content is delivered through StreamYard and Dropbox, our website and webinar library are hosted on Vercel (which also provides privacy-focused analytics and secure file storage), and email communications and webinar registrations are managed through Mailchimp. We also maintain profiles on social platforms such as Instagram and LinkedIn. When you register for a webinar, the name, email address, and organization you provide are stored securely and added to our Mailchimp audience so we can send you the educational updates you requested. When you interact with these services, their own privacy policies govern the information you provide to them. We encourage you to review those policies.
Educational Independence & Sponsorship
Portions of our educational programming, including the Learning Series, may receive support from ophthalmic industry sponsors. All educational content is developed independently and reflects the views of the participating faculty. Sponsors do not receive your personal information through our website unless you separately choose to engage with them.
How We Share Information
We do not sell your personal information. We share information only with service providers who help us operate our programs, when required by law, or with your consent. Aggregated or de-identified information that cannot reasonably be used to identify you may be used or shared for program and research purposes.
Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children's Privacy
Our website and programs are intended for medical professionals and are not directed to children. We do not knowingly collect personal information from children.
Your Choices
You may opt out of our email communications at any time by clicking the unsubscribe link at the bottom of any email we send, or by contacting us directly. You may also request that we access, correct, or delete the personal information we hold about you, subject to applicable law.
Data Retention
We keep personal information only for as long as necessary to fulfill the purposes described in this policy — for example, to manage your event registration, respond to your inquiry, or send you the educational communications you requested — and then for a reasonable period afterward to meet our legal, accounting, or reporting obligations. When information is no longer needed, we delete it or de-identify it. You can ask us to delete your information at any time as described below.
International Data Transfers
Eyeprentice is based in the United States, and the service providers we use to operate our website and programs (including Vercel and Mailchimp) store and process information in the United States. If you access our website or provide information from outside the United States, including from the European Economic Area, the United Kingdom, or Switzerland, you understand that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country. Where required, we rely on appropriate safeguards — such as the Standard Contractual Clauses offered by our providers — for these transfers.

If you are located in the European Economic Area, the United Kingdom, or Switzerland, the General Data Protection Regulation (GDPR) gives you certain rights over your personal data. Your California Privacy Rights (CCPA/CPRA)

In the past twelve months we have collected the following categories of personal information: identifiers (such as name and email address), professional or employment-related information (such as your organization and training level), commercial information (such as event registrations), and internet or other electronic network activity information (such as aggregated, privacy-focused analytics about site usage).
You have the right to know what personal information we collect and how we use it; to request access to or a copy of that information; to request correction of inaccurate information; and to request deletion of your information, subject to certain exceptions. You also have the right not to receive discriminatory treatment for exercising any of these rights.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under California law. Because we do not sell or share personal information, we do not offer a "Do Not Sell or Share My Personal Information" mechanism, but you may still exercise your other rights.
